Minutes for October 7th

Agenda October 7th, 2012
“You are always wearing your letters”

I.               Call to order
a.     President Sarah Johnson calls the meeting to order at 7:00pm
II.             President’s Report
a.     Still waiting to hear from Eta Psi about the Tea Party
b.     Tickets for Football game
c.     Province Officer’s meeting next week!
                                               i.     a.  Meetings with the President at the beginning and end (suggested is 1 hour at the beginning and 30 mins. at the end).
b.  Meetings with the other officers: 
-1 hour with VPM;
-I prefer 1 hour with the VPR and Sergeant-at-Arms combined (30 mins is suggested, but it typically takes longer to completely inventory everything)(or 15-20 mins. with the SAA separately);
-30 mins with both secretaries at the same time (or 15-20 with them individually);
-1 hour with the treasurer;
-30 mins. with the Editor;
-and, 15 mins each with any committee chairs as necessary. 
 c.  Meetings with the Department Chair (30 mins, usually) and the Chapter Advisor(s) (up to an hour).  Also, a 15 min. meeting with the Director of Student Activities - and, to be honest, this is usually the most difficult to schedule.  I can do any of these by phone at a later time if in-person meetings aren't possible (or, if I can't figure out child care for Monday).
 d.  An Executive Board Meeting (before the Formal Meeting)
 e.  A Formal Business Meeting with the entire Chapter (actual business should be kept to an absolute minimum).

III.           Officer Reports
a.     VPM Report – Ellie
                                               i.     We are wonderful, beautiful women!
                                             ii.     Shirts should arrive by next weekend at the earliest.
                                            iii.     Emma will develop film from disposable cameras from Up event soon.
b.     VPR Report – Hannah
                                               i.     Nominations for VPR
1.     Elections will be held October 14th, must have 2/3 vote from chapter, Cannot be nominated if dues are not paid

c.     Treasurer’s Report - Emma
                                               i.     Current balance: $1,518.34
                                             ii.     Dues – everyone has paid! J
                                            iii.     Emma in contact with Sue Conrad about double signatures
                                            iv.     We made $82 at the last bake sale!
d.     Secretary’s Report - Jalen
                                               i.     Mail - none
                                             ii.     Jalen will contact Morgan again about posting her Convention pictures/stories on our blog.
e.     Editor’s Report – Alison
                                               i.     Yearbook due Nov. 1st
1.     Email Alison with your name/year/email to be listed in the yearbook.

                                               i.     Nominations for Seargeant at Arms

                                             ii.     Katie reads on overview of the Philanthropic Arm of SAI International.
IV.           Committee Reports
a.     Fraternity Education Report – Katie
                                               i.     Today we will practice the Whistle Song.
b.     Fundraising Report – Jen
                                               i.     Bake Sale recap
1.     Necessity of bake sales
a.     We discuss the difficulty that some of us have voiced with having to spend money on baking every month. We agree that our chapter needs the revenue from bake sales. Sarah points out that the alternative to monthly bake sales/similar activities would be raising dues.
                                             ii.     MoMus October 10th
1.     Set up at 8pm
2.     Abi volunteers to pick up the coffee at Panera at 7:30.
3.     Jen will come up with a schedule for setup, during event, and cleanup.
                                            iii.     Bake off – Novemberfest
1.     Christine says that Tribunal is fine with this taking place at Novemberfest as long as we advertise through Tribunal. We think the event will take place from 10:00 to 3:30, so we should raffle around 3:00.
2.     We discuss the logistics of a cake raffle. Each cake will have its own box for raffle tickets.
3.     We should take note of the fact that we will not be reimbursed for cake ingredients. We discuss the possibility of doubling up and/or making the bakery a social event. We agree that five cakes is about the minimum we need to make.
c.     Social Report – Tara
                                               i.     Free facials from a friend of Ellie’s?! October 21st
1.     Where should we take our beautiful, glowing faces afterward?
                                             ii.     Football on October 13th – Unofficial (actives only)
1.     4pm @ Hannah’s
2.     Get tickets on 7th
                                            iii.     October 20th – Iron’s Fruit Farm in Lebanon
1.     Open until 6pm, Cincinnati Red’s Corn Maze - $7, U-Pick apples, pumpkins, and squash, Hayrides
                                            iv.     SAI Clothes Swap
1.     Alison’s on the 28th of October, 3:30pm, 6:00 at Adriatico’s before the meeting
                                             v.     Tara is looking into Kings Island/Halloween with Sinfonians
                                            vi.     Holiday Party
1.     Location: Ellie’s family would love to host us.
2.     Dates: Tentatively December 7th after Feast of Carols = meet in the Circle at 6:30
d.     Community Service Report – Abi
                                               i.     Ronald McDonald – dates
1.     Mid-March, weekend
                                             ii.     Little Sisters of the Poor – dates
1.     November 17th
                                            iii.     Symphony ushering
1.     French themed concert with new conductor on November 9th or 10th  - email Abi which date works for you!
                                            iv.     Area girl scouts?
1.     Christine is still in contact with her girl scout leader from school. We discuss the possibility of an Instrument Petting Zoo or performance of Peter and the Wolf.

a.     Composer Concert – Hannah, Oct 18th
                                               i.     Committee: Alison, Abi, Hannah, Emma, Jen, Ellie
                                             ii.     We have decided that charging for tickets will dramatically reduce the size of our audience. Free tickets.
                                            iii.     Without ticket revenue, we can no longer afford Maggiano’s. So…
                                            iv.     Budget downsize to $50
1.     Expecting 30-50 patrons
                                             v.     Catering/Food
1.     We will make appetizers and desserts
a.     E-mail Hannah what appetizer you will bring. Plan to make enough to feed 10 people.
b.     Desserts: Emma and Jalen volunteer to make desserts instead of appetizers.

                                               i.     Lindsey Jacob wants to draw up a contract. We need to discuss the payment.The piece would probably be for our SAI recital in March.
